Commerce OS / COD reconciliation
COD reconciliation

Every rupee of COD, accounted for the same day.

Cash collected by a rider, handed to a store, handed to the company — recorded at every step with who, how much and when. Shortfalls surface the day they happen, not at month end. Built into the platform — or connected to your existing Shopify or WooCommerce store.

The problem

Cash with no chain of custody.

Reconciled from memoryCOD settled weekly from WhatsApp messages and photos of notes. By the time a gap shows up, nobody remembers which trip it came from.
Leakage you can't seeA few hundred rupees short on a few trips a week adds up — and without a record per handover there is no honest way to ask about it.
Books that disagreeCancelled orders still counted as revenue, cash marked received that never reached the bank, three systems and three different totals.
How it works

Custody at every handover.

  1. Collected at the doorstepThe rider marks cash against the order in the rider app — English, Hinglish or Hindi.
  2. Handed to the storeThe store accepts the rider's cash on screen, against the shift's cash exposure — anything short is recorded against the rider.
  3. Handed to the companyStore-to-company deposits are logged the same way, so cash-not-yet-in is a number on the MIS, not a guess.
  4. Checked every nightFifteen reconciliation checks each morning — cash that doesn't match the order, cancelled-but-not-refunded, payment drift, gaps in the invoice series. Silence means everything agrees.

What you get

From "where's the cash?" to a row per rupee.

Reconciliation screen — fifteen checks run every morning against the commerce backend
Reconciliation — fifteen checks, every morning

100% of cash tracked, doorstep to bank

Collected, with the rider, handed over, accepted, refunded — timestamped and attributed.

Same-day shortfall alerts

A storefront has no opinion about ₹100 missing from a rider's collection. This raises it the same hour, with the actor and timestamp.

Own riders and 3PL, one order list

Partner-delivered orders move through the same states as your own riders' orders, so the MIS shows every COD order whichever way the parcel went.

Fewer COD drops to begin with

A one-click COD rescue at checkout lets customers switch to online payment.

Questions

What people ask before a walkthrough.

What is COD reconciliation?

Matching the cash collected on cash-on-delivery orders against the orders that were actually delivered, through every hand it passes — rider, store, company, bank. Done by hand it usually happens weekly or monthly, from memory and photos of notes; Commerce OS does it at each handover.

How do riders record cash they collect?

In the rider app, at the doorstep, against the order. When the rider hands cash to the store, the store accepts it on screen; when the store deposits it, that handover is recorded too. Each step carries the actor, amount and timestamp.

What happens when cash doesn't match?

The shortfall is flagged the same day, with the rider, the orders involved and the timestamp — not discovered at month end. The nightly reconciliation also flags cash that doesn't match the order value.

Does it work if a 3PL collects the COD?

Orders handed to a 3PL or hyperlocal partner are tracked through the same states as your own riders' orders, so every COD order — whoever delivers it — shows up in the same order list and MIS. Ask in the walkthrough how your partner's remittance file fits in.

Can customers switch from COD to prepaid?

The storefront includes a one-click COD rescue that lets a customer pay online instead — fewer cash drops to reconcile in the first place.

Does it replace our accounting software?

No. It produces the operational money trail and the reconciliation your CA needs, and GST invoices and credit notes at the event. Your accounting system stays the ledger of record.
